About the opportunity | Mo te whai waahi
This opportunity involves providing high-level administrative support to the Co-CEOs and supporting business development activities, including managing client relationships and coordinating client interactions.
Key Responsibilities | Ngā Kawenga Mahi
Provide high level administrative support to the Co-CEOs, including calendar management, travel arrangements, communication coordination, basic tech support, and meetings preparation.
Set up Board and other committee meetings and requirements in co-ordination with the Board Secretary and Chairs.
Support Client Relations team with Wellington office reception duties such as greeting clients and guests, answering the 0800 number.
Liaise with office manager to ensure regular restocking of office stationery, printer and binding requirements, pantry, and office facilities.
Organise internal staff events (including catering and event coordination activities) as required.
Support the the wider Harbour team with client activities.
Assist Marketing & Communications team with client seminars, roadshows, and other in-person and online events (eg webinars), including venue and supplier management, invitations, and ongoing requirements to deliver a successful event.
Coordinate content including presentations, pitch decks, promotional products, brochures, branding of documents, ensuring brand guidelines and formats are followed, and templates are kept up to date.
Support Marketing & Communications team with Harbour’s calendar of sponsorships and deliverables, for example coordinating exhibition stands or booking in speakers.
Keep the client relationship management system (Dynamics 365) up to date including contact details and file notes. Conduct regular data audits and update details on potential client leads/ Harbour’s external network of advisers.
Assist the wider team on ad hoc and cross-team projects as required, e.g. RFPs, due diligence questionnaires.
